The four-part follow-up
1. Reference the thread. Open by anchoring to the last exchange, not by apologizing for following up. "Circling back on the pricing question from Tuesday" beats "Sorry to bother you again."
2. Add something, do not just bump. A useful follow-up gives a reason to reply: a new data point, an answer to a likely objection, a relevant example. A bare "any update?" gives the reader nothing to respond to.
3. Make the next step a one-tap decision. Propose a specific time, a yes or no, or a single question. The easier the reply, the faster it comes.
4. Keep it short and in your voice. Two or three sentences. Follow-ups that read like a fresh pitch get skipped; follow-ups that sound like a quick note from a real person get answered.
Timing
For most business threads, wait two to three business days before the first follow-up, then space subsequent ones further apart. Same-day follow-ups read as anxious; week-long gaps lose the thread. Two to four total touches is usually the right ceiling before you move on gracefully.
Common mistakes
Guilt-tripping ("I haven't heard back"), stacking multiple asks, writing a longer email than the original, and sending the exact same message reworded. Each one lowers your reply rate.
