Structure

Sentence 1: Acknowledge. Their concern is real. Don't hedge.

Sentence 4: Deadline. When they'll hear back with an update.

Optional: Context. Only if useful. Never as an excuse.

Example

Illustrative example. Names are fictional.

Sam,

You're right. The migration broke a workflow we should have tested. I'm on it tonight, pulling in the senior engineer who shipped it, and I'll be on the call myself.

You'll have an update tomorrow morning, and a fix this week. If we're not on track Tuesday, I'll call you directly.

Alex

Why it works

Acknowledgment first defuses the temperature. First-person ownership ("I'm on it") signals seniority. Specific deadline turns abstract anger into concrete patience. Promise of a call if you miss the deadline closes the loop on trust.
